New supplier to streamline process to obtain forms, stationery products

UPMC is overhauling the process of ordering forms, stationery and envelopes, business cards, labels, and other office documents. UPMC will consolidate the orders with a single vendor — a strategic business decision that will lower costs and streamline the process of ordering and delivering these items.

UPMC's new partnership with Oce Business Services will expand online requisitioning and realize cost savings.

Transition schedule:

Form supplies, including general stationery, labels, patient education, and clinical forms (FL Haus)
    Friday, March 23 — Last day requisitions may be
      submitted to FL Haus
    Monday, March 26, through Monday, April 2 —
      Blackout period
    Monday, April 2 — First day to submit requisitions
      to Workflow One

Customized stationery and documents, including business cards, appointment cards, and prescription pads (Corporate Express)*
    Friday, April 27 — Last day requisitions may be
      submitted to Corporate Express
    Monday, April 30, through Sunday, May 6 —
      Blackout period
    Monday, May 7 — First day to submit requisitions
      to Workflow One
*This transition affects only forms, stationery, and documents. Other office supplies will continue to be ordered from Corporate Express.

Children’s Hospital of Pittsburgh select forms and documents (Standard Register)
   Friday, May 18 — Last day requisitions may be
      submitted to Standard Register
   Monday, May 21, through Monday, May 28 —
      Blackout period
   Tuesday, May 29 — First day to submit requisitions
      to Workflow One

This new process is part of UPMC’s strategic partnership with Océ Business Services (see the March 9 issue of Extra! for details) and will be executed by Workflow One. In addition to realizing cost savings, UPMC will expand online requisitioning for various forms and other frequently used items. Workflow One will complete an analysis of how health system forms are produced, with the goal of reducing the time staff spend creating or obtaining forms.

Keep supplies on hand during transition

The transition to the new process will take place over the next few months. New requisition forms and instructions will be delivered to UPMC facilities prior to the transition. Online ordering capabilities will be provided to those facilities currently ordering online. 

There will be a “blackout period” to allow the previous vendors time to transition inventory to Workflow One. If you are responsible for ordering forms, stationery, or related items, you should take steps to have a two-week supply of such materials on hand prior to the blackout period.
